The part of an office move that can stop your business

An office relocation in Cairo involves a lot of moving parts: lease handovers, fit-out, furniture, movers, building permissions and staff communication. IT is often left until the last minute, and it is the part most likely to cause lost working days. If the internet line isn’t ready, the server doesn’t come back up, or the network points in the new office don’t work, nobody can do their job, however nicely the furniture is arranged.

An IT relocation needs planning months before the move. Internet lines must be ordered early, because installation can take weeks. Cabling must be installed before ceilings close. Servers need careful shutdown, packing and restart. Phone numbers, Wi-Fi, printers, CCTV and access control all need to be ready on day one.

ITZone plans and manages the IT side of your office move from start to finish. We survey both sites, coordinate with your fit-out contractor, movers and internet providers, move your equipment over a weekend, and test everything before your team arrives. We can also help you use the move to upgrade: replacing ageing equipment, moving servers to the cloud, or redesigning the network.

  • Order internet lines (Vodafone / e&) — allow several weeks for installation
  • Decide what to upgrade, replace or move to the cloud
  • Agree cabling with the fit-out contractor before ceilings close

1–2 months before

  • Install cabling, racks, cooling and power in the new comms room
  • Confirm phone numbers can be transferred
  • Build an inventory of every device to move
  • Book the move date with movers and building management

1–2 weeks before

  • Test the new internet line and firewall
  • Pre-configure Wi-Fi, switches and new equipment
  • Confirm full backups and a restore test
  • Label every device and cable with its destination

Move weekend

  • Shut down servers in order; pack and transport them

  • Check printers, phones, CCTV and access control

First week

  • Engineers on site on day one

Mistakes that cause lost working days

Ordering the internet line too late

It’s the most common cause of delays. Order as soon as the lease is signed.

Leaving cabling to the fit-out contractor without IT input

Points end up in the wrong places, and the comms room has no cooling or power.

Moving servers without verified backups

Servers that have run for years can fail to restart after transport.

No inventory or labelling

Equipment arrives in the new office and nobody knows where it belongs.

Forgetting phone numbers, CCTV and access control

These often have separate suppliers and long lead times.

No support on day one

Small issues pile up when nobody is on site to fix them.

Who we coordinate with

An office move involves many parties, and IT depends on most of them. We coordinate with your fit-out contractor on cabling routes and comms room requirements, building management on access, loading bays and working hours, internet providers on line installation and number porting, your moving company on timing and handling, and software vendors on licence transfers and IP address changes. You get one point of contact for the entire IT side of the move.

What we move

  • Servers and storage
  • Firewalls, switches and Wi-Fi
  • Desktops, laptops and docking stations
  • Printers and scanners
  • Phone systems and handsets
  • Meeting room screens and conferencing equipment
  • CCTV recorders and access control panels
  • UPS units and racks

How we relocate servers safely

Servers are the riskiest item in any move. Disks can fail after being powered off and transported, and applications must restart in the right order. We take and verify full backups before shutdown, document every connection, shut down in the correct sequence, pack servers in protective cases, transport them ourselves, and restart and test every application before the move is signed off. If you’re planning to move servers to the cloud, the relocation is the ideal time. See Cloud Migration

Case study

A growing company moved from Downtown Cairo to New Cairo over one weekend, including two servers and a new comms room. Staff were working as normal on Monday morning.

Office IT Relocation questions, answered

How early should we plan an IT relocation?

Ideally three to six months before the move. Internet lines and cabling take the longest to arrange.

Do you move furniture as well?

We focus on IT and coordinate closely with your moving company.

Can you move our servers without losing data?

Yes. We verify full backups before shutdown and test every application after the move.

What is in an office relocation checklist for IT?

Internet orders, cabling, comms room, server move plan, device inventory, backups, labelling, testing and day-one support. Download our full checklist above.

Can the move happen over a weekend?

Yes. Most of our relocations are planned for weekends so your team doesn’t lose working days.

Can we upgrade equipment during the move?

Yes. A move is the best time to replace old equipment, as the new setup can be built and tested in advance.

What happens to our old equipment?

We remove it, securely wipe all data, and arrange certified recycling or disposal, with certificates for your records.

Can you relocate a server to a hosting provider instead?

Yes. Many clients use a move to migrate servers to the cloud or a hosted environment in Egypt, so the office only needs a small comms cabinet.

How much downtime should we expect?

With a weekend move and proper preparation, usually none during working hours. Email and cloud services keep running throughout, and on-site systems are back before Monday.

Do you relocate IT for warehouses and retail stores too?

Yes. We relocate warehouse networks, scanners, POS systems and CCTV, and plan around your operating hours.

Can you help us choose the IT setup for the new office?

Yes. We review the new floor plan and recommend points, Wi-Fi, comms room and meeting room technology before the fit-out is finalised.
