You can’t manage what you can’t see
Ask most companies how many laptops they own, who has them, and when their warranties expire, and the answer is a spreadsheet that was last updated a year ago. Devices leave with former employees. Licences are bought twice, or not at all. Warranties expire without anyone noticing, so a failed laptop that should have been repaired for free becomes a new purchase. Old computers sit in a cupboard with company data still on the disks.
IT asset management (ITAM) fixes this. It gives you a single, accurate, up-to-date record of every piece of IT your company owns: hardware, software licences and cloud subscriptions. It tracks each asset through its whole life, from purchase and setup to assignment, repairs, upgrades and secure disposal.
ITZone provides IT asset management as a service. We set up the software, discover your devices automatically, build the asset register, link it to warranties and licences, and keep it updated. You get alerts before anything expires, reports for finance and audits, and a clean process for joiners, leavers and disposal.

What is IT asset management?
IT asset management is the process of tracking and managing a company’s IT assets throughout their life to control costs, reduce risk and support decisions. An IT asset is anything with value that supports your technology: laptops, desktops, servers, network devices, phones, printers, software licences and cloud subscriptions.
ITAM covers four stages. Plan and buy: know what you have before buying more. Deploy and assign: set up devices and record who has them. Maintain: track warranties, repairs, upgrades and licence renewals. Retire: recover, wipe and dispose of assets securely, and remove them from the register. Done well, ITAM saves money, keeps you licence-compliant, improves security and makes audits simple.
Hardware vs software asset management
| Hardware asset management | Software asset management | |
|---|---|---|
| Tracks | Laptops, servers, network devices, phones | Licences, subscriptions, installations |
| Main risks | Lost devices, expired warranties, data on disposed devices | Over-licensing, under-licensing, audit penalties |
| Main savings | Fewer unnecessary purchases, warranty repairs | Removing unused licences and duplicate subscriptions |
The asset lifecycle in practice
| Stage | What happens | What we record |
|---|---|---|
| Request & purchase | Need approved, device ordered | Cost, supplier, invoice, warranty |
| Setup & assign | Device configured and given to a user | Serial, user, location, handover form |
| Use & maintain | Updates, repairs, upgrades | Repair history, warranty claims |
| Reassign | Returned and given to someone else | Wipe record, new owner |
| Retire & dispose | Device withdrawn and destroyed or recycled | Wipe certificate, disposal date |
Avoid licence audits and overspending
Software vendors such as Microsoft, Adobe and Autodesk can audit customers to check that every installation is properly licensed. Being under-licensed can lead to back-payments and penalties. Being over-licensed means paying every year for licences nobody uses. Software asset management compares what is installed and used with what you own, so you can fix gaps and cancel waste. For cloud subscriptions such as Microsoft 365, we regularly find licences assigned to former employees or higher-tier plans given to people who don’t need them.
Asset management improves security
You can’t protect devices you don’t know about. An accurate asset register shows which devices are missing security updates, which run unsupported operating systems, and which haven’t checked in for weeks and may be lost. When a device is lost or stolen, you know immediately what it was, who had it and what data it held, so access can be revoked and, where needed, the device wiped remotely.
IT asset management software we use
We use proven ITAM tools rather than custom spreadsheets, such as Lansweeper, ManageEngine AssetExplorer and Snipe-IT, often combined with Microsoft Intune for device management. The right tool depends on your size, budget and existing systems. We set it up, configure discovery and alerts, and train your team, or run it entirely for you as a managed service.

Secure IT asset disposal in Cairo
Disposing of old IT equipment is a data security risk. Deleting files or formatting a disk doesn’t remove data; it can be recovered with simple tools. We use certified wiping software or physical destruction for disks, issue a certificate for every device, update the asset register, and arrange recycling through approved e-waste partners. This protects your data and helps meet data protection obligations.
Benefits you can measure
Fewer unnecessary purchases because unused devices are found and reassigned. Lower software costs by removing unused licences and duplicate subscriptions. Fewer lost devices thanks to clear assignment and leaver processes. Faster repairs because warranty status is known instantly. Better budgeting with a refresh plan based on real device ages. And easier audits for finance, insurance and compliance.
Who needs IT asset management
Any company with more than about fifty devices, several locations, frequent staff changes, or audit and compliance requirements. It is especially valuable for companies that issue laptops to remote and hybrid staff, businesses preparing for ISO 27001, and organisations that lease equipment and must return it in a known condition.
Case study
A company with hundreds of devices across 3 sites found unassigned laptops and unused software licences in the first month, avoiding unnecessary new purchases.
IT Asset Management questions, answered
What is IT asset management?
Tracking and managing every IT asset, hardware and software, throughout its life, to control costs, reduce risk and support decisions.
Do we need IT asset management software?
Spreadsheets work for a handful of devices, but they go out of date quickly. Software discovers devices automatically and keeps the register accurate.
Can you include mobile phones and cloud subscriptions?
Yes. We track phones, tablets and SaaS subscriptions such as Microsoft 365 alongside computers and servers.
How do you handle leavers?
We create a checklist for each leaver: collect devices, remove access, wipe or reassign devices, and update the register.
How do you dispose of old equipment securely?
Certified data wiping or physical destruction, a certificate for each device, and recycling through approved partners.
Is IT asset management included in your IT AMC?
Basic asset and licence tracking is included in our AMC plans; full ITAM with discovery software and disposal is a separate service.
How long does the initial setup take?
For most companies, discovery and the first complete asset register take two to four weeks, depending on the number of devices and sites.
Can you tag and label our assets?
Yes. We apply durable asset tags or QR labels so any device can be identified and checked quickly.
Can the asset register connect to our accounting or ERP system?
Yes. Asset data can be exported or integrated with systems such as Odoo, so finance has accurate values for depreciation and insurance.
Do you track leased equipment?
Yes. We record lease dates and return conditions, so leased devices are returned on time and complete.
Who can see the asset register?
You decide. We set role-based access so finance, HR and IT see the information they need.
